CHARGE:

This group takes the primary responsibility for setting policies for exhibits, including who can create exhibits, how long content will be available, identifying legal responsibilities for attaining copyright permissions and FERPA releases, etc. They will also work with the Technical Lead to define and prioritize potential feature upgrades to the Exhibits system. Any library that wishes to use Spotlight for digital exhibitions on the exhibits.library.cornell.edu page must have representation in this group.

USE

The use of Spotlight exhibits on the exhibts.library.cornell.edu page is for library-created or curated content whether as a digital component for a physical exhibit or as an online-only exhibit. Faculty, students, or outside scholars working on in-person or online-only exhibits that are initiated or sponsored by the library will also be allowed to use Spotlight. In all cases, any library's use of Spotlight requires membership on this committee by a liaison member who is responsible for ensuring exhibit policies are followed.  Additionally, whether for themselves or on behalf of others, only members of this committee can request new Spotlight exhibits.

The use of Spotlight exhibits on the exhibits.library.cornell.edu page is not intended for students and faculty working on course-related online exhibits or personal scholarship with an online exhibit component. When such cases arise, students and faculty will be directed to the Digital Scholarship Team: https://digitalscholarship.library.cornell.edu/


  • Exhibit Group in conjunction with the unit library reviews requests for new exhibits and determines if it is appropriate
    • Requests are forwarded to an email list that includes the members of the Exhibit Management Group. (I am currently working on creating a listserv for the group)
    • The Exhibit Group in conjunction with the unit library will determine if the exhibit meets the mission of the library or is a valid exception.
    • The liaison role for any approved exhibits will be the Exhibit Group member from that library. Any library that wishes to use Spotlight for digital exhibitions on the exhibits.library.cornell.edu page must have representation in this group.
    • The group will respond to the request to inform the requestor of the decision of the group and point them to alternate resources if the exhibit is not approved.
  • The Exhibit Group member from the associated library serves as liaison ensuring legal obligations are met (e.g. copyright, FERPA, etc.)
    • This Exhibit Group member will serve as liaison to guide exhibit creators around these types of questions.
    • The liaison will ensure that copyright, FERPA, etc. are met before an exhibit is published.
    • The liaison responds to general usage questions.
  • who provides training if needed? (Is this something that should happen on a regular schedule?) Maybe both the Exhibits Group and CUL-IT
    • This may be someone from the CUL-IT staff.  I am exploring this further.
  • The Exhibits Group will relay issues with the function of the application to CUL-IT
    • CUL-IT staff will address bugs and feature requests.
