Eligible events

Events sponsored by AAD program areas will be considered for live streaming services by the ADD Digital Team. Events should be intended for a broad-base audience. Live stream attendees will be counted as participants in a digital event. Digital team resources include staffing, equipment, and venue support. Therefore, use of the AAD live stream platform is restricted to events that meet certain eligibility criteria.

  1. Events must be of interest to a broad-base audience.
  2. Events must have a AAD sponsor. (college/unit or central AAD staff member)
  3. Venues must meet technical requirements to live stream.
  4. Events must have the live stream approval from speakers.

Projects that do not meet all four of these criteria are not eligible for AAD Digital live stream services.

Questions about your project’s eligibility? Contact Ashley Budd, ashley.budd@cornell.edu.

Venue selection

Event venues are a critical piece of live stream planning. Venues must meet technical requirements in order to live stream. They should also provide ample lighting and space for live stream camera and computer equipment. Do not hesitate to reach out to the AAD Digital Team for assistance with venue selection. Our team members are available to speak directly with venue coordinators to ensure an appropriate setup is possible.

Please note! Signs should be posted outside the event room indicating the program will be live streamed. For live streams in public places, signage should alert passersby that a live stream is taking place.

Technical requirements

  • Power outlet
  • One of the following internet connection options
    • Wired internet connection with a minimum 10 mbps upload speed to stream in HD
    • Dedicated (private) wireless internet connection with a minimum of 20 mbps upload speed to stream in HD
  • XLR audio feed from house sound (recommended)

Speaker permissions

It is best practice to make all speakers aware of live streams or recordings before an event. A comfortable speaker performs much better in front of the camera. We do not require written permission from all speakers. All participants not affiliated with Cornell should sign a release.

When Cornell faculty speak on behalf of the university, their participation = approval. This is especially true when the program is about their work at Cornell. It also holds true when the appearance is at a public event in their professional capacity. The same goes for administrators speaking about their specialized areas of expertise.

Post-event requirements

The Digital Team will put proper tracking in place to capture information about live stream participants. We will require participants to share their name and email addresses. We will also ask for NetIDs and class years. These fields will not be required.

Event sponsors are responsible for reconciling participant information with individual EMPL IDs for PeopleSoft. The Digital Team is available to work with each program area to complete this post-event task.
