Overview:

The University Data Clean-up Initiative for campus will require IS and associated customers to review Data Discovery scans on many servers.  In order for this process to be productive, a method for parsing and disbursing the scan results to the appropriate person(s) will be needed.  This is a specification document for an application which would facilitate this process for IS and its' customers.  This application would be used for clean- up efforts which will continue to occur as part of the University Data Clean-up Initiative on campus.

Application Requirements:
  1. Read a mapping table which identifies directories and their owners/customer contacts
  2. Parse the scan logs by directory
  3. Notify (either email or Cynergy workflow)the customer.  Notification would include a link to a secure site where logs can be viewed.
  4. allow customer to select appropriate option for each file:
  • False positive - these results will be sent to S&O to be skipped in future scans
  • Deleted - these results will be removed and added to a 'clean-up' list
  • Add to inventory - these results will be added to the IS confidential data inventory list

 5. keep a record of customer activity.

Considerations:

is this something IS can build?

do we have available resources in the timeframe this is needed?

once developed who will maintain and support?

there will be some up-front work (probably by Yamin's team) to collect all of the logs in one place
