Occasionally, we will have scheduled downtime for things like hot fix applications and upgrades. Whenever possible, we will schedule downtime for times when libraries are closed. If we experience an unscheduled outage or we are unable to schedule downtime during off hours, the Offline Circ application can be used to continue basic circulation functions.

Flower releases

Timeline

This is the normal timeline for major flower releases, bug fixes, etc. Smaller patches are scheduled based on system impact.

  • Week of: Notifications will be sent out to all staff concerning the upgrade.
  • Friday morning: A reminder message will be sent to all staff about the upgrade.
  • Friday around 6pm - 8pm: After all units close hosting will start the upgrade process.
    • Once this time is set it is a hard stop for all units as hosting will start to take a snapshot of our production system database.
  • Saturday around 6am - 7am: Hosting will hand over the updated environment to the FOLIO Support Team for review.
  • Saturday before 10am: The FOLIO support team will review the production environment and send out an all clear to staff, with the exception of data import.
    • If a major issue is found the support team will work with hosting to roll the system back to the prior version.
  • Monday by end of day: An all clear will be given to staff that they may resume batch and Lehigh App imports.
  • Wednesday: Hosting will permanently take down our pervious production environment.

All notifications will be emailed to circadmin-l, ts-voyager and cu-lib, as well as posted on the support Slack channel, #folio-info-and-support.

Systems and Applications That Will Not Work During Downtime

  • FOLIO
  • My Account
  • Item requests
  • Public catalog indexing will not continue to reflect new changes, though there should be none.

Systems and Applications Unaffected by Downtime

  • Public catalog searching will continue to work, including the display of item status
  • BorrowDirect and ILL
  • Scan Requests 
  • Access to e-resources
  • Aeon

Data import, the Lehigh app, and single record import

After upgrades we ask that staff not use batch import or the Lehigh App until the support team sends out an email clearing data import specifically, this will be some time after the general all-clear. This may take as long as the end of the day on Monday after the upgrade. This is to allow time for our data import experts to ensure that everything is working as expected, and to perform any settings or templates changes that need to be made due to the upgrade.

Single record imports are okay to begin using as soon the general system all clear is given on Saturday morning. If a particular upgrade requires single record import to not be used for longer than that, we'll let everyone know.
