-effective ways to add notes to FOLIO so that we are aware of post-cancellation terms and other items of concern; review types of notes in FOLIO

  • eHoldings Notes: standardized, reusable notes (ex- "cancelled in 2018") were loaded into EBSCO, but don't seem to have made their way to FOLIO eHoldings, even though FOLIO eHoldings has functionality in place for creating an inventory of standardized notes
    • Decision (made by Liisa, and no one objected, 9/21/20): Add standardized notes to eHoldings in FOLIO; this can be done at the package, provider, or title level. 
  • A different notes menu appears for licenses, separate from the eHoldings notes.
  • Agreement notes also have their own standardized notes menu, separate from License or eHoldings notes.
  • Organizations don't have a field for standardized notes.
  • eHoldings Notes: would like to have free text notes in FOLIO at the e-holdings level

  • Agreements Notes:
    • The "description" field in an Agreement can be one place to add free-text notes - I think we decided this was okay?


       

    • Agreements also contain a standardized notes field, the same as the eHoldings Notes.  Question - are the Agreements Notes the same list of notes used in the eHoldings notes?
    • No free text notes seem to be available in Agreements, but maybe the Description field is good enough?
    • "Perpetual access" can be selected in the Agreement (field is checked or unchecked)

 

  •  Organization Notes:
    • Liisa has been using the Description field in Organizations to enter some useful data.

 

-are there any notes fields to avoid because other folks in the library might be planning to use them?

-what do we need to record in FOLIO so that we can tie in the acquisitions information so that is easy to find for now; once acquisitions is added to FOLIO, this part of the workflow will change, of course.  I spend a lot of time looking up resource information in this file from Intota: https://cornell.app.box.com/file/618902304246 but we need to get this info into FOLIO, but I am not clear as to the best place to record some of it
