How To Upgrade an AACR2 Authority Record Already in OCLC:

Leave the Voyager record alone.  You must work in OCLC.
You can work in any account in OCLC.  It does not have to be a special NACO account until the very last step.

  • Call up the authority record you want to upgrade to RDA.
  • SAVE the record (under ACTION) to your Local file if you want to keep it to yourself.  If the record is ready for your reviser, you can save it to the Online Save file.  Do NOT lock the record!
  • Make your edits, adding RDA fields.  Be sure to change the Rules Fixed Field to “z.”
  • Add |e rda to the 040 line.  Do not add |d NIC.  OCLC does that automatically and will refuse it if you add it by hand.
  • Every time you change the record, SAVE again.  OCLC will leave the SAVE option grayed out if it does not detect any new edits.
  • You can easily transfer your record from your Local file to Online Save, or vice versa, by choosing the save file you want under Action.  OCLC will ask if you want to keep a copy in the original file as well as the new file.  That’s up to you, but if you keep a copy, you will need to remember to delete it at some point.
  • When it’s in the Online Save file and ready for your reviser, flag it Submit for Review … NIC.
  • Last step for your reviser (or you, when you’re independent): sign into a NACO account.  Under Action, choose Replace Record.  OCLC will add the |d NIC to the 040.
