Staff and others using EGAs will want ready access to those email mailboxes within their Outlook client to both read messages and "send as" those mailbox EGA address. There are two ways to do that.

Method 1: Add an account to the Outlook client (normal way).

NOTE: With this method, sent email as that account's email address shows up in that account's "Sent Items" folder, as one would expect.

This method can only be used to add about 10 accounts simultaneously. If you run over this number of accounts, you will have to pick-and-choose which get attached using this method vs. the other method, below.

Summary instructions

Outlook => File => Account Settings (for existing account) => "E-mail" tab => New...

  • Great method for adding multiple accounts.

OR:

Outlook => File => Add Account

Other behaviors:

  • If mailbox is selected, a new message will have that mailbox as the sender.

Method 2: Add the account within your existing main account (back-up way).

NOTE: With this method, sent email as that account's email address shows up in YOUR account's "Sent Items" folder (and not the EGA's account's "Sent Items" folder).

Summary instructions

Outlook => File => Account Settings (for existing account) => "E-mail" tab => open main existing account => "More Settings..." button => "Advanced" tab => Add (within "Mailboxes")

Other behaviors:

  • Even if mailbox is selected, a new message will NOT have that mailbox as the sender. If needed, must search and add it for that message. After which, that mailbox's address is available on the pull-down for future messages.
    • Note: Even with mailbox in From:, message STILL goes to user's Sent Items, not that mailbox's Sent Items.
