Documentation on Chemistry IT's role, using CIT's tools, to help Chemistry faculty provision or renew Sponsored NetIDs.

Faculty's two steps to sponsor an existing NetID

1) Faculty member sends an email to Chemistry IT <ChemIT@cornell.edu>

Please include in your message:

  • Person's name and NetID.
  • Reason for sponsorship.
    • 1-2 sentence is usually enough.
  • Date of expiration.
    • Max. of 1 year from start of sponsorship or renewal. They can be renewed for a year at a time, as many times as needed.
  • If research group has a cluster or other share high-performance system managed by Chemistry IT, will this person require cluster access?

Example text:

  • This is a request to sponsor an existing NetID. Soand So is a graduate student in my group until the end of July. Please extend her NetID (NetID@cornell.edu) for a year beyond its normal expiration date, to the end of next July. Soand So has a number of projects to finish, and these may be best accomplished on our computer cluster requiring an active NetID.
  • Please extend Sponsored NetID services for Donald Duck <dd666> for another year. They are one of my collaborators and requires access to our computer cluster.

Chemistry IT will process your request using CIT's system.

2) Faculty member ensures sponsored person processes the email they get from CIT

  • The sponsored person is sent an email from CIT with a web link they must click.
  • The link takes them to a page at which they are asked by the University to confirm they understand their responsibilities associated with this privilege.
    • It is a quick and simple affirmation process, apparently.

Follow-up sample text, if no timely response from sponsored person:

===========================

Soand So <NetID>,

This is Oliver, from Chemistry IT. Per Prof. PI's request, I have submitted a request to extend your Sponsored NetID.

The new process is that CIT sends you an email with a link for you to click so you can confirm you know your NetID's password and that you confirm your responsibilities associated with this privilege. Your sponsorship cannot be processed until you have completed this step.

Please let me know if you need me to re-send the message, which will come from CIT.

Also, will you still require access to the group's cluster? Your last access was Month Year.

Yours in service, -Oliver.

NOTE: Chemistry IT will confirm success to you, or if issues arise.
