These instructions apply chiefly to Cornell, with Columbia guidelines forthcoming.

SKYPE INSTRUCTIONS:

For a face to face meeting with only 2 people, Skype is a good option.

To use Skype, you will need to get a Skype account and have video camera.  To get a Skype account:   https://login.skype.com/account/signup-form

There, you will find instructions on how to create an account.

If you don't have a video camera hooked to your desktop, you will need to schedule the use of the LTS laptop ; as there is a link to it on the desktop.

To schedule the use of the laptop, open your outlook calendar.

First click on "New Appointment", first button on the left of your ribbon, then click on "Scheduling Assistant".  Click on "Add Rooms", bottom left.

In the search box type "Lts":

Scroll down to "LTS laptop" and double click.

Make sure the laptop is available when you want to use it and finish scheduling your appointment.  You will get an e-mail when your invitation is accepted or declined.

POLYCOM INSTRUCTIONS:

If you would like to host a meeting with a group of people and you would like to talk face to face, you need to use the Polycom Videoconferencing equipment. The equipment is currently stored in the closet in 106g. It must be reserved through Library Administration using outlook calendar.   Please contact Laurie Stevens (lms6) if you would like to use the Polycom and she will reserve it and set it up for you.  For additional information, see the User's Guide for Polycom HDX Room Systems.

WEBEX INSTRUCTIONS:

Webex is recommended for a large group meeting as well.

Cornell's free web conferencing service, WebEx, provides on-demand, real-time, collaborative web meetings and conferencing. As part of Cornell's campus-wide license,  faculty and staff can schedule meetings that anyone can participate or present in. Once the meeting has begun, hosting authority can be transferred to any participant.

WebEx allows you to:

  • Share your desktop and files such as PowerPoint presentations
  • Stream live Voice over IP (VoIP) and webcam video
  • Collaborate using chat and whiteboards
  • Mark up shared documents
  • Archive the proceedings for future reference

WebEx works with PC, Mac, and Linux, and has apps for iPhone, iPad, Android, and Blackberry. Participants can connect from their desktop, laptop, smartphone, or iPad, and it's easy to record meetings for later viewing.

Currently, the newly renovated Olin 235 Administrative Conference room is completely set up for easy access to WebEX;

When it is time for your meeting to start, you will need to go to the Library Administration office (Olin 201) and get the key for Olin 235.

When you enter the room, first you will want to turn the TV on.  The button is located under the right bottom edge of the TV.  On the conference table is a wireless mouse and keyboard, make sure both of them are turned on.  The on/off for the mouse is on the bottom and for the keyboard it is located on the top right edge (tip keyboard up so that the bottom edge is against the table and you will see it on the right side)  When the computer boots up, ;type in the password that is listed on the keyboard.  There is also a speaker in the center of the table, make sure that is on as well.

Open the Mozilla Firefox Browser.

In the bookmark tool bar, click on "Cornell University WebEx"

Next, find your meeting:

Then click on "Start"
Audio has a pull down at top.  Click "call using Computer".  There will be a place where you can test the audio, click the test button to make sure you hear sound from the speaker.

In the upper right corner of the video screen is a symbol that looks like 2 people.  Click on that to maximize the screen.

Should you have any questions of any of these meeting options, please contact Laurie Stevens (lms6)
