Scope: This document outlines the steps involved in creating order records in  Voyager in FOLIO for items selected from Sunday's New York Times to be placed in CUL's New & Noteworthy section. The premise is that the orders will be treated as rush.

Completing Voyager the purchase order in FOLIO

Each week the bibliographer selector for American and English literature selects his choices from the Book Review section of the Sunday NY Times, for ordering.   The bibliographer selector uses the OASIS interface to create bib records in Voyager, and includes send order requests to LTS with appropriate notes to identify his selections as destined for New & Noteworthy .  Additionally he section. Additionally, the selector sends a separate email with the list of selected titles to the Ordering Unit's group print ordering mailbox. Ordering The ordering staff will order requested titles from Coutts if order requested titles directly from OASIS if they have the status ofin stock/available. Otherwise, they will order from Amazon.

A.  Notification from the Selector of New & Noteworthy titles:

  1. E
  2. Each Early in each work week, the selector sends a message to ltsorders@cornell.edu with a list of his selections for that week.
  3. The selector submits order requests for selected titles through OASIS interface.
  4. Next business day, the marc files are ready for pick up in Cyberduck.
  5. Designated LTS ordering staff member sorts through the daily ITSO query and kickout folders marc files to ensure that each requested title is associated with a Voyager PO. Also, and as appropriate, ISBNs for selected titles may be searched in Voyager to determine whether PO was createdin the email previously sent.
  6. Ordering staff will move note (NYBR; NEW-NOTEWORTHY) from the Notes area of the line item in the Voyager purchase order to the Requester area of the line itemupload the edited marc files through the Lehigh App to create purchase orders in FOLIO.

B.  Choosing selected titles from the OASIS interface:and order:

  1. Open OASIS and login. Account name: Generic Stock Rush Ordering
  2. Using the ISBN from the FOLIO order records, search in OASIS
  3. Order all requested titles through the OASIS interface if available, by logging into the Stockrush account.
  4. Using ISBN from Voyager MARC record, search OASIS interface for availability, making sure the item is listed as In Stock/Stock Rush Available“In Stock”.
  5. Confirm the price in OASIS and choose hardcover option edition when one is available.
  6. Add an item to a the cart by clicking on the “Add to Cart” button. Follow steps 2 and 3 for each title.
  7. Click on the cart icon on top right corner to open the shipping cart.
  8. In a the shopping cart page, match the titles with the purchase order lines in FOLIO to ensure all titles have been selected.
  9. Select “Stock Rush” option for all titles. Use the FOLIO PO number to fill out the purchase order field, along with the fund and location code.
  10. In “note to ProQuest” field, ADD “Stock Rush”; or you may Open “Order Info” tab and enter order info: PO#, fund code 521, check the square box of Stock Rush, enter notes “Stock Rush” in note to Coutts field or use the previously saved NYTBR template but change the PO#. Anchor55If ordering only one title, bring a cursor to green arrow (action) and click Order Now.
  11. If  ordering more than one title, bring a cursor to green arrow (action) and click Add to cart for each title.
  12. Click on the shopping cart tab and follow Step 5 for each title.
  13. PO number.
  14. Click on the blue submit button to place the OASIS ordersView the ordered title listed in OASIS. Click Orders then click Search All Orders & Invoices. Find orders on a title-by-title basis.

C. Create/Update/Approve Completing the purchase order in VoyagerFOLIO:

  1. Make sure each PO line has “NYTBR; NEW&NOTEWORTHY”, in the receiving note field.
  2. In the receiving app, edit each PO line and check the “Must acknowledge receiving note” box and save
  3. Match cart in OASIS to PO in Voyager to ensure that all titles have been selected.
  4. Use Fund code 521 in Voyager acquisitions record.
  5. Approve order in Voyager, but don't send via EDI.
  6. Title will appear as "Firm Print order--Openopen" in OASIS interface and should items arrive within a week5-7 business days.
