Scope:  This procedure outlines the steps used to evaluate the Voyager FOLIO records that fail to load to set their holdings in OCLC via the daily extract. The evaluation is done in Batch Processing in consultation with catalogers as necessary or by the Head of the non-academic original catalogersweekly update. A weekly spreadsheet of that weeks holdings setting results is sent to cataloging.

A.  Evaluation of Voyager FOLIO Records

Following each daily extract to WorldCat, OCLC staff will send an email notification to batchload@cornell.edu announcing the processing of any files. There may be unresolved records and either on the OCLC ftp site or in OCLC Workdshare Management Services. There will be both files of unresolved records and bib detail reports which detail the precise error(s) in each Voyager record that was unresolved. The unresolved record has an OCLC number only retrievable by that number and must be manually examined either to correct the error in WorldCat or remove our holdings and assign it to another OCLC master record.

Each week a report of the records that could not have their holdings set because the record has a canceled OCLC number is sent to cataloging. The spreadsheet contains both the canceled number and the current number.

C.  Final Step: Adding OCLC Control Numbers to Voyager FOLIO Records

If the number differs from the 035 field in the Voyager record or there is no OCLC number, make the OCLC control number match the number our holdings reside on. The 035 field's form should be 035 __$a(OCoLC)123456789
